How to Create a Purchase Order in TallyPrime: 4 Easy Steps

Here’s how to create a purchase order in TallyPrime:

1. Enable Purchase Order processing:

  • Open TallyPrime.
  • Go to Gateway of Tally > F11 (Features).
  • Navigate to F1: Accounting Features.
  • Set Enable purchase order processing? to Yes.
  • Press Ctrl+A to accept the changes.

2. Create the Purchase Order:

  • There are two ways to access the Purchase Order voucher:
    • Gateway of Tally > Vouchers > F10 (Other Vouchers) > Purchase Order
    • Alt+G (Go To) > Create Voucher > F10 (Other Vouchers) > Purchase Order
  • If the voucher type is inactive, you will be prompted to activate it. Select Yes or press Y to proceed.

3. Enter Purchase Order details:

  • The Purchase Order voucher screen opens.
  • Enter the following details:
    • Party’s A/c Name: Select the supplier from the list.
    • Order No: If not auto-filled, enter a unique order number.
    • Date: Enter the order date.
    • Due on: Enter the expected delivery date.
    • Item: Select the stock items you are ordering. You can:
      • Use Alt+C to create a new stock item if it doesn’t exist.
      • Press F4 to search for specific items.
    • Quantity: Enter the quantity of each item you are ordering.
    • Rate: Enter the agreed price per unit for each item. The Amount will be calculated automatically.
    • Optional fields: You can also add details like warehouse, narration, taxes, etc.

4. Verify and Save:

  • Review the purchase order details.
  • Press Ctrl+A to save the voucher.

Additional Tips while Creating a Purchase Order in TallyPrime:

  • You can print the purchase order for reference.
  • You can track the status of the purchase order in reports like Purchase Order Outstandings.
  • You can link the purchase order to a receipt note when the goods are received.
