There are two approaches to closing a Job Work Out Order (JWOO) in TallyPrime, depending on whether the order has been fully completed or not:
1. Pre-Closing a Job Work Out Order (Partially Completed):
This option is applicable when the job worker hasn’t delivered all the finished goods specified in the JWOO.
1. Steps:
- Go to Reports: Press Alt+R (Reports).
- Access the Job Orders Summary Report: Navigate to Inventory Reports > Job Work Reports > Orders.
- Locate the JWOO: Identify the Job Work Out Order you want to pre-close.
- Pre-Close the Order: Select the JWOO and press Alt+W (Close Order).
- Confirmation: In the “Job Order to Close” screen, choose the option “Close Orders” and press Enter to confirm pre-closure.
Note: Pre-closing a JWOO doesn’t impact the outstanding balance or affect the job work process.
It simply acknowledges that the order isn’t fully completed yet.
2. Closing a Job Work Out Order (Fully Completed):
This approach is used when the job worker has delivered all the finished goods as per the JWOO.
1. Record Receipt of Finished Goods:
Before closing the JWOO, ensure you’ve recorded the receipt of finished goods using a “Material In (FG)” voucher.
This reflects the finished products received against the job work order.
2. Go to Vouchers:
Access the voucher creation screen (Gateway of Tally > Vouchers or Alt+G (Go To) > Create Voucher).
3. Open the Specific JWOO:
You can use two methods:
1. Voucher List:
- Press Ctrl+G (Go To) > Vouchers List.
- Filter by voucher type (“Job Work Out”) and date range (if you remember when the JWOO was created).
- Locate the relevant JWOO and double-click it.
2. Search by Order Number:
In the “Create Voucher” screen, some versions of TallyPrime might allow searching by order number.
Enter the JWOO number and select the appropriate voucher type (“Job Work Out”) to open it.
4. Verify and Edit (Optional):
Once you’ve opened the JWOO voucher, you can:
- Verify details like party (job worker), order date, and ordered quantities.
- Make any necessary changes to the voucher information before closing.
5. Close the Job Work Out Order:
- Look for the “Ctrl+W (Close)” option within the Job Work Out Order voucher. (This shortcut might vary slightly depending on your TallyPrime version).
- Pressing “Ctrl+W” will display a confirmation message. Select “Yes” to permanently close the JWOO.
3. Example:
You placed a Job Work Out Order with a tailor for 50 shirts.
The tailor delivers all 50 shirts, and you record the receipt in a “Material In (FG)” voucher.
- Use one of the methods mentioned in Step 3 (Voucher List or Search) to open the specific JWOO voucher for the shirts.
- Verify the details and ensure the received quantity matches the ordered quantity (50 shirts).
- Press “Ctrl+W (Close)” and confirm to permanently close the completed Job Work Out Order.
4. Important Note:
Closing a JWOO finalizes the job work process for that specific order.
Ensure you’ve recorded all related transactions (material transfer out, receipt of finished goods, payment to job worker) before closing the order.
By following these steps and considering the appropriate approach based on completion status, you can effectively close Job Work Out Orders in TallyPrime, maintaining accurate records and ensuring proper job work management.
